Reservation confirmation and payment policy

If inquiry is received by TOKI anytime SHORTER than 14 days prior to the starting date of the tour
Time frame of confirmation for individualsPayment (*4) must be made within 24 hours after the final quotation is sent from TOKI. If there is no reply or inquiry within the mentioned time frame, the quotation will be cancelled automatically. (*5)
Time frame of confirmation for agents and event organizersPayment (*4) must be made within 48 hours after the final quotation is sent from TOKI. If there is no reply or inquiry within the mentioned time frame, the quotation will be cancelled automatically. (*5)
If inquiry is received by TOKI anytime LONGER than 14 days prior to the starting date of the tour
Time frame of confirmation for individualsPayment (*4) must be made within 7 days after the final quotation is sent from TOKI. If there is no reply or inquiry within the mentioned time frame, the quotation will be cancelled automatically. (*5)
Time frame of confirmation for agents and event organizersPayment (*4) must be made within 7 days after the final quotation is sent from TOKI. If there is no reply or inquiry within the mentioned time frame, the quotation will be cancelled automatically. (*5)

 

*1 If there are more than 1 candidate dates for the tours in your inquiry, the earliest date will be considered as the starting date of the tour

*2 If the ordered tour or trip duration in longer than 2 days, the first day will be considered as the starting date of the tour

*3 The date and the time to be used is the Japan standard time GMT+9

*4 The confirmation will be made only after TOKI receives the payment

*5 In order to avoid to cause any inconvenience for artisans

 

Cancellation Terms & Rate

 

Experience and Optional tour
(1) If notice of cancellation is received by TOKI after confirmation of reservation (Except in cases of 2,3)30% of the tour fare
(2) If notice of cancellation is received by TOKI 14 days or less days prior to the starting date of the tour (Except in case of 3)50% of the tour fare
(3) If notice of cancellation is received by TOKI 7 days or less days prior to the starting date of the tour100% of the tour fare

*Regarding the arrangement of transportation and/or accommodations, please contact us for details.

*The refund of third parties – Travel Service Suppliers – will be made in accordance with the cancellation policy of the respective travel supplier, not the policy we stipulate below.

*Cancellation can be made in writing by e-mail. Please note that there may be a considerable time difference between Japan and the country in which your company is located. The date of cancellation is deemed to be the date on which TOKI receives written notice of cancellation based on the Japan standard time.

*No cancellations can be accepted after TOKI’s business hours (10:30 a.m. – 6:30 p.m. except Saturdays, Sundays and national holidays). Cancellations requested after business hours are dealt with the following day.
